Dear Parents,
Welcome back to Bilal Academy. This booklet sets out how the school runs — supplies, tuition, schedule, grading, and what we expect of students. Please read it with your child; a school stays calm and safe when everyone knows what is expected.
A. School Supplies

- Registration fee per family: $50.00, charged once.
- Tuition is paid in 9 monthly payments, September through May. June is graduation only and is not billed.
- Payment is due on or before the first Sunday of each month.

- Textbooks: assigned textbooks are available at school for $25.00 each.

Each subject is graded on homework, classwork, quizzes, participation, the midterm and the final, and attendance appears alongside grades on the report card.

Dates may change for weather, masjid events, or the sighting of the moon for Ramadan and Eid. The office announces changes; the website calendar is always current.
F. Attendance and Punctuality
- Attendance is mandatory. Contact your child's teacher about make-up work after any absence.
- Arrive by 10:00 am — late students join at the start of the next period, and repeated lateness will prompt a call home.
- Early dismissal requires a written, signed note from a parent or guardian.
- If a student becomes unwell we will call the emergency number given at registration — please collect your child promptly. We call 911 in an emergency.
- Please keep your child home if they are unwell — fever, cough, sore throat, or an upset stomach.
Attendance is counted per school day: a student who attends any class that Sunday is marked present. Excused absences do not count against a student's attendance rate.
G. Parent Portal
Every family has a portal account showing attendance, grades, report cards, tuition balance, and the calendar. The office issues your username and password; a family with a child here and a parent who also teaches gets two accounts, each labelled. Reset a forgotten password from the portal page, and please do not share your password — it shows your children's records.
H. Communication
- Telegram parents' group and text message — closures and urgent notices
- Email — anything that needs a record: invoices, report cards, letters
- Parent-teacher conferences — see the calendar for dates
- Announcements at assembly and after Zuhr prayer
Meeting with a teacher. Please contact the school office rather than approaching a teacher directly during school hours. The office will schedule the meeting based on administration approval and the teacher's availability, and will confirm the time by email or text according to the communication method you have chosen. This protects class time for every student and respects the limited time teachers have while school is in session.
Photos and media. From time to time we photograph or record school activities for the website, newsletters, and social media. Only students with a current signed photo consent on file are shown. Contact the office if you would like to add, check, or withdraw your consent.
I. Conduct
General
- Show a positive attitude and effort in every task, and accept responsibility for your actions.
- Come prepared, work together, and keep your hands, feet, and words kind.
- Show respect: listen, follow directions, and think before you speak or act.
Restrooms, lunch, and classroom
Restrooms: be quick, quiet, and careful, and wash your hands. Lunch: parents provide lunch, snacks, and water; stay seated, talk quietly, and clean up before dismissal. Classroom: bring nothing that could cause harm, and get a teacher's approval before bringing equipment from home.
Discipline
Teachers may deduct points for late work. Disrespect toward staff or students, horseplay, or anything that disrupts the day may lead to suspension. Personal electronic devices are not permitted and will be held until pickup. Students must respect school and others' property; deliberate or careless damage may be billed to the family.
Where these expectations are not met: name recorded, referred to the principal, loss of recess for older students, parents contacted, then dismissal from school.
Bullying and harassment. Bullying, harassment, or intimidation of any student or staff member is not tolerated. Please report any concern to a teacher or the office — every report is taken seriously and addressed promptly.
J. Dress Code
All students and staff dress modestly and decently, in keeping with the practices of the Islamic faith.

K. Health and Safety
- Please follow the parking and traffic coordinators' instructions, and students stay in the building unless leaving with a teacher or an approved adult volunteer.
- Tell us about allergies or health conditions on the registration form so we can take particular care.
- A student needing on-site medication — for asthma or allergies, for example — must have a parent available on campus.
Parents on site. Parents are not permitted inside the school or Islamic Center during school hours, other than for a medical need or an approved educational purpose — adults moving through the building interrupt lessons and unsettle the children.
Mandatory reporting. New Jersey law requires any adult who suspects child abuse or neglect to report it to the state Division of Child Protection and Permanency. Our staff are mandatory reporters and take this responsibility seriously.
L. Volunteering
Much of what the school does depends on parents giving a few hours — classroom help, coaching, clean-up days, events, kitchen, transport — with no minimum commitment. Anyone volunteering directly with children completes a background check first.

M. Changes to These Policies
The administration may revise these policies during the year. Updates are shared by email and the Telegram parents' group, and posted on the noticeboard, and the administration uses its discretion in matters affecting the educational environment.
